Customer Assurance Last Updated: October 2026 • Commercial B2B Standard

At Saerom Solutions, we engineer and supply high-precision industrial components, molds, automation equipment, and spare parts manufactured to rigorous quality specifications. We recognize that commercial procurement requires transparent, predictable dispute and refund resolution. This policy defines the circumstances, verification standards, and settlement mechanisms for refunds.

1 Eligibility Criteria for Refunds

Refunds or commercial credit notes are granted under the following verified conditions:

In-Transit Physical Damage or Loss

Products received in a broken, crushed, or visibly damaged condition caused during transit. Claims must be filed within 48 hours of delivery receipt accompanied by unboxing photographs/video and an endorsement on the carrier's Lorry Receipt (LR) or proof of delivery (POD).

Manufacturing Defect or Dimension Discrepancy

Items failing agreed dimensional tolerances, hardness standards, or functional engineering specifications verified against the approved technical drawing, CAD blueprint, or purchase order datasheet.

Incorrect Item Supplied

Supply of an item differing in part number, variant, grade, or specification from the confirmed order documentation.

Duplicate Transaction or Billing Overcharge

Occasions where an account is charged multiple times due to a payment gateway timeout or network error during online checkout.

2 Non-Refundable & Excluded Items

The following categories are strictly non-refundable:

  • Custom-Manufactured Tooling & Molds: Bespoke injection molds, custom dies, and precision-machined components manufactured to client-specific CAD files or proprietary drawings.
  • Installation or Operational Damage: Items damaged during unauthorized welding, improper voltage supply, incorrect machining, or failure to adhere to recommended operating parameters.
  • Normal Industrial Wear and Tear: Tool wear, erosion, and routine degradation resulting from standard factory operations.
  • Opened Consumables: Lubricants, sealants, cutting fluids, or bonding compounds once the factory container seal is broken.

3 Step-by-Step Claim Procedure (RMA)

  1. Submit Claim: Email our Quality Support Desk at saeromsolutions@gmail.com within 48 hours of receiving the consignment. Include your Order ID, Tax Invoice number, digital photos/videos of the defect, and copy of the carrier LR.
  2. Technical Evaluation: Our engineering team in IMT Bawal assesses the documentation within 2 business days. If verified, a Return Merchandise Authorization (RMA) number is issued.
  3. Consignment Return: The goods must be securely packaged in their original crates/boxes with the RMA number prominently labeled and dispatched to our Bawal facility.
  4. Physical Inspection & Approval: Upon physical arrival, our Quality Control team conducts final inspection and test checks within 3 business days.

4 Refund Settlement & Timelines

Approved refunds are settled through one of two commercial channels:

Option A • Recommended

GST Credit Note / Ledger Adjustment

Issued within 24–48 hours of inspection approval. Credited immediately to your company ledger for adjustment against upcoming purchase orders. Ideal for ongoing B2B accounts.

Option B

Source Payment Refund

Processed within 5–7 business days back to the original source of payment (ICICI Net Banking, Corporate Card, UPI, or NEFT/RTGS). Depending on banking clearance cycles, funds reflect in 3–10 business days.

5 Restocking & Freight Allocation

  • Transit Damage / Quality Defects: Saerom Solutions assumes 100% of return freight costs, and no restocking fee applies.
  • Buyer Discretion / Order Error Returns: For standard catalog products returned due to buyer specification changes or ordering error, a 10% to 15% restocking and re-inspection fee applies, and return freight is borne by the buyer.
